The process for linking QuickBooks and Microsoft Access, importing and exporting the data is fairly easy. Below are the steps that have to be taken in order to connect both of these applications.
- First, open to the Microsoft Access application (click on Start button on the desktop, click on Microsoft Office > Microsoft Access, choose the Blank Access Database, and click on OK).
- By default, the file will be provided with a name. You can edit the file name as according to your specific needs. The file name should not match other file names that are within the Microsoft Access database. Click on Create button, after you have made the changes.
- Now, click on New tab
- This will open to Microsoft Access database wizard box. Select the Link Table and click OK
- Locate the Type box files at the bottom of the window screen. Form drop down box change the File type from Microsoft Access into ODBC Databases
- From the Select Data Source box, select the QuickBooks Data or DSN Data Source that you have set up with QODBC driver. Next, click on OK
- A Link Table will be displayed on the screen. This provides the list of all QuickBooks tables that you will be able to access via Microsoft Access. Choose the QuickBooks tables that have to be connected to Microsoft Office, then click OK
Now, you should be able to view all the QuickBooks tables in your Microsoft Access. It is vital to know that this process technically doesn’t import QuickBooks files into the Microsoft Access. Microsoft Access will access these external files via the QODBC driver. This allows instant update of any changes made whether working in Microsoft Access or QuickBooks. This creates less error and ensures the records are kept up to date each time.
